Orders and support
Shipping Policy
How we accept and ship orders, and what happens with tracking, signatures, pickups, delays, and damage in transit, for domestic and international orders.
This Shipping Policy applies to orders placed through the website checkout unless a product page, quotation, order confirmation, or written agreement states different terms. The destinations, services, rates, and delivery estimates available for an order are the ones shown at checkout for the products in that order.
Available shipping options and estimated timing are shown during checkout.
Payment receipt and order acceptance
A payment confirmation means that a payment was authorized or received. It does not by itself mean that Sofitrek has accepted the order for fulfillment.
Before acceptance, Sofitrek may verify inventory, quantity, price, shipping address, product restrictions, payment status, fraud risk, export and sanctions requirements, end user, end use, and other material order details. Sofitrek may contact the buyer to resolve a question.
An order is accepted when Sofitrek sends an acceptance notice or begins an authorized fulfillment step identified as acceptance in the customer's account. The accepted order record controls the approved items, quantity, destination, shipping service, charge, and initial ship-by date.
If Sofitrek cannot accept all or part of a paid order, the buyer will be notified and the affected amount will be released or refunded under the Refund Policy.
Processing and ship-by estimates
The checkout, product page, or acceptance notice may show a processing estimate or ship-by date. Sofitrek states a ship-by date only when it reasonably expects to meet it, but unexpected inventory, address, compliance, carrier, weather, system, or operational problems can cause delay.
A processing or ship-by estimate describes when Sofitrek expects to hand the package to the carrier. It is not the same as the carrier's transit estimate or delivery date.
Same-day dispatch is not guaranteed unless the order confirmation expressly says it is guaranteed. Order cutoffs, weekends, holidays, payment review, special packaging, large quantities, customer-account shipping, and export review can change processing time.
Available shipping services and charges
Only services shown as available at checkout or included in a written quotation are offered for that order. Service availability can depend on destination, item type, package size, value, and carrier rules.
Shipping charges are shown before the buyer submits payment. They may be flat, calculated, included in the price, or quoted separately. Sofitrek will not substitute a more expensive service and charge the buyer afterward without approval.
When a safer or operationally necessary carrier service is used at Sofitrek's expense, the buyer will not be charged more than the accepted shipping amount. A buyer-requested upgrade requires written agreement and any additional payment before shipment.
Customer carrier accounts and labels
Use of a buyer's UPS, FedEx, DHL, freight, or other carrier account is available only when Sofitrek expressly approves it for the order. The buyer must provide accurate account and service information through an approved channel and must have authority to use the account.
Sofitrek may decline customer-account shipping when the service is unavailable, the account cannot be validated, the label is inconsistent with the order, export or customs data is incomplete, insurance or claim responsibility is unclear, or the arrangement creates unreasonable risk.
A customer-provided label does not change product price, export obligations, packaging requirements, order acceptance, or the buyer's responsibility for charges billed by the carrier.
Shipping address
Buyers must provide a complete and deliverable address. Sofitrek may offer address suggestions or autocomplete as a convenience, but the buyer remains responsible for reviewing the final accepted address.
After an order is submitted, an address change may require cancellation and a new order because payment, fraud, tax, export, and carrier records can be tied to the original address. Sofitrek will not redirect a package to a materially different destination without appropriate review.
Split shipments and partial availability
Sofitrek may propose or use split shipments when items have to be packed or shipped separately, or when part of an order is delayed. The buyer will not be charged more than the accepted shipping amount for a Sofitrek-initiated split unless the buyer separately approves a changed arrangement.
A partial shipment does not automatically cancel the remaining items. The account or support notice should identify what shipped and what remains open. Refund and cancellation treatment depends on the status of the affected quantity.
Shipment delays
If Sofitrek cannot ship within the promised period, Sofitrek will provide a delay notice as required by applicable law. The notice will give a revised date when reasonably known, or explain that a reliable date is not yet available, and will state the buyer's available cancellation or continuation choice.
Sofitrek will not treat silence as consent where affirmative consent is required. If an unshipped order is cancelled because the buyer declines a delay, a required response expires, or Sofitrek cannot fulfill the order, the unshipped amount will be refunded.
Tracking and carrier scans
Tracking is provided when available after the shipment record or carrier label is created. A label-created event does not necessarily mean the carrier has possession. Some services, consolidators, postal mail classes, and international routes produce limited or delayed scans.
Carrier transit and delivery dates are estimates unless the selected service expressly includes a carrier guarantee. Sofitrek does not control carrier routing, customs processing, weather, security inspections, labor disruptions, or local delivery practices.
Signature, delivery attempts, and pickup holds
A shipment may require a recipient signature when the accepted order or shipping notice states that requirement. The buyer must provide a complete, deliverable address, monitor tracking and carrier notices, and arrange for an authorized recipient to accept and sign for the shipment within the carrier's available delivery or pickup period.
A carrier-directed or buyer-requested hold for pickup makes the package available under the carrier's rules. It does not cancel the order or create an indefinite storage period. The buyer or recipient is responsible for completing any reasonably required pickup, identification, signature, scheduling, or address-confirmation step. Contact Sofitrek promptly if the stated carrier option is unavailable or incorrect.
If delivery fails because the buyer supplied an incomplete or inaccurate accepted address, no authorized person was available after the carrier's permitted attempts, the buyer or recipient refused a conforming shipment, or a held package was not claimed before the carrier's deadline, the carrier may return, store, abandon, or dispose of the package under its rules. Contact Sofitrek before refusing a shipment when it is safe and practical to do so. Refusal alone does not establish a covered claim.
When the cause is attributable to the buyer or recipient and the goods return safely, Sofitrek may offer reshipment after the buyer pays the new shipping charge or review a refund after receipt and inspection. The original outbound shipping charge is not refundable to the extent permitted by law. If the goods are not recovered because of the buyer's or recipient's failure to accept or claim them, a merchandise refund may be unavailable to the extent permitted by law.
These rules do not apply to the extent delivery failed because Sofitrek used an address different from the accepted order, the carrier failed despite reasonable buyer cooperation, the shipment was rightfully refused for a covered nonconformity or visible damage, or a non-waivable right requires a different result. Sofitrek will review the tracking record, carrier reason, communications, condition of any returned goods, and reasonably available evidence before deciding the outcome.
Delivery, loss, and missing packages
Review tracking and the delivery location promptly. If tracking shows delivery but the package is missing, check with household members, receiving personnel, neighbors, mailroom staff, and the carrier as appropriate.
Contact Sofitrek promptly when a package appears lost, misdelivered, or stalled. Claim procedures, waiting periods, declarations, photographs, or cooperation may be required. A refund or replacement is not automatic until responsibility and carrier status are reasonably reviewed, except where applicable law requires otherwise.
Transit damage
Preserve the product, shipping carton, labels, inner packaging, and all contents. Photograph the outer package, inner protection, damage, and product markings before discarding anything.
Report transit damage through the Contact and Help Center as soon as practical. Sofitrek may require a carrier inspection, return, or additional information. Do not repair, alter, or reship the item before receiving instructions unless necessary to prevent immediate further damage or injury.
International orders
International availability is limited to destinations and services offered at checkout or approved in a quotation. An international order may be held for export, sanctions, end-user, end-use, licensing, customs, tax, fraud, or carrier review.
Unless checkout or a written quotation expressly states that Sofitrek will collect a particular import charge, the recipient is responsible for import duties, VAT, GST, customs fees, brokerage, clearance charges, and other destination-country costs. These amounts are imposed outside Sofitrek's merchandise price and may be collected by a carrier or government before delivery.
The buyer must provide accurate consignee, importer, end-user, end-use, tax, customs, and contact information. Refusal to pay destination charges, incomplete import information, or an undeliverable address can result in delay, return, abandonment, or additional cost. Any refund is subject to the Returns Policy, Refund Policy, and non-refundable external charges.
Freight forwarders
When the buyer chooses a freight forwarder, export agent, consolidator, or reshipper, Sofitrek's delivery obligation is to the address accepted on the order unless written terms say otherwise. Further handling and movement are between the buyer and that service.
This does not eliminate a valid claim for an error, misdescription, shortage, or damage that existed before delivery to the accepted address. The buyer should arrange inspection at the forwarder before onward shipment and preserve evidence.
Export compliance
Shipping is subject to the Export Compliance Policy. Sofitrek may request information, hold a shipment, decline a destination or service, or cancel an order when legally or operationally necessary.
Contact
For a shipping question, provide the order number, destination country, requested service, and any deadline through the Contact and Help Center. Do not assume a delivery date is guaranteed unless the order confirmation expressly says so.
